The Cold Chain Doesn't Start at the Dock: Reefer Prep Done Right

Pre-cooling, pulp temps, and reefer prep decide whether temperature-controlled freight arrives sound. Here's how to get it right before the truck rolls.

You booked a reefer, set the trailer to the right temperature, and loaded the truck. Then the load arrived warm, and the receiver rejected it. Nobody wants that call. The frustrating part is that the trailer probably ran exactly as ordered. The problem started before the truck ever backed into your dock.

A refrigerated trailer is not a freezer. It moves air to hold a temperature, not to pull heat out of warm product. If your freight is warm when it goes on, the reefer will fight it the whole way and lose. The cold chain starts at your plant, your cooler, and your loading process. Here is what actually protects the load.

Pre-Cool the Product, Not Just the Trailer

The single most common cold-chain failure is loading product that was never brought down to temperature in the first place. A reefer unit is sized to maintain a setpoint against ambient heat and the small warmth that leaks through the walls. It is not sized to chill a full trailer of product that came off the line or out of a warm warehouse.

Bring the product to its target temperature before it hits the dock. That means:

  • Cool freight in a cooler or blast unit ahead of loading, not in the trailer.
  • Load fast and keep dock doors managed so you are not dumping outside heat into a cold trailer.
  • Stage product so it is ready when the truck arrives, not pulled warm from another part of the building at the last minute.

If the product is right when it loads, the reefer’s job is easy. If it is warm, no setpoint saves you.

Pull the Trailer Down Before You Load

Pre-cool the trailer too, but understand what that step does. Running the unit down to setpoint before loading conditions the box and the air inside it. It does not compensate for warm product. Do both: cool the product in your facility, and pre-cool the trailer so cold air is already moving when the doors open.

One caution worth stating plainly: pre-cooling a trailer with the doors open in summer heat wastes fuel and floods the box with warm, humid air. Close it up, let it come down, then load with purpose.

Take Pulp Temps and Write Them Down

A pulp temperature is the internal temperature of the product itself, taken with a probe, not the air reading off the reefer display. The air can read perfect while the core of a pallet is still warm. Receivers know this, which is why many of them pulp your freight the moment it lands.

Take pulp temps before loading and record them. This does two things. It confirms the product is actually at temperature, and it gives you a documented starting point if there is a dispute later. If a receiver claims a load arrived warm, your loading pulp temps and the reefer’s download tell the real story. Without them, it is your word against theirs, and you lose.

Airflow, Loading, and the Return Bulkhead

Cold air has to circulate. Stack freight so the return air can move around it and back to the unit. A few habits that protect the load:

  • Keep product off the front bulkhead so the discharge air can distribute.
  • Do not block the floor channels or bury the return air path.
  • Load tight enough to prevent shifting, but leave the air room to work.
  • Match your freight type to the right setpoint and airflow, since frozen and fresh behave differently.

A well-loaded trailer holds temperature. A wall of pallets jammed against the bulkhead creates hot spots no matter how well the unit runs.

Most temperature claims are not equipment failures. They are handoff failures: warm product, a rushed load, no pulp records, or a trailer that never got pre-cooled.
